Geode is developed and operated by OMNIINTELLILINK PTE. LTD., a company registered in Singapore. Geode is designed as a local-first, cloud-optional tool for recording, transcription, translation, speaker separation where available, and summarization.
This Privacy Policy explains how we collect, use, disclose, store, protect, and delete information in connection with Geode. It is intended to be read together with our Terms of Service.

2. Scope of This Policy
This Privacy Policy applies to information collected or processed through Geode mobile and desktop applications, including currently supported iPhone, iPad, and Mac applications, and related websites, accounts, support, payment, and optional cloud processing services.
This Policy does not apply to third-party websites, applications, payment processors, app stores, or services that are not operated by us, even if they are linked from Geode. Those third parties may have their own privacy policies and terms.
By downloading, installing, accessing, or using Geode, you acknowledge that you have been provided with this Privacy Policy. Where required by applicable law, we will request your consent separately for specific processing activities.
3. Privacy-by-Design Summary
- Local by default. Geode’s default workflow is local-first. Recording, local transcription, and other supported local features are performed on your device by default.
- Mac local AI features. On-device summaries and speaker separation are currently available on Mac, subject to device and plan availability.
- Cloud only when you choose it. Optional cloud transcription and optional cloud summaries are used only when you actively choose cloud processing.
- Local translation. Translation features, where available, are processed on-device on supported devices, regardless of whether the transcript was generated locally or through optional cloud transcription.
- Task-limited cloud processing. When you choose cloud processing, only the audio and/or transcript text needed for the task is uploaded and processed solely to complete that task.
- Deletion after cloud processing. Uploaded audio is permanently deleted immediately after the requested cloud task is completed. Transcript text used solely for cloud summaries is deleted once that task is completed, subject only to temporary technical storage strictly required during secure processing.
- No AI training. We do not use your audio, transcripts, summaries, translations, speaker labels, or other user content to train AI or machine learning models.
- No advertising SDKs. We do not integrate third-party advertising SDKs, and we do not use your content for advertising, profiling, or marketing analytics.
- Crash reports off by default. Crash reporting is disabled by default and can be turned on or off in Geode settings.
- Product analytics. Geode may collect aggregated, de-identified, or privacy-preserving product analytics to understand app performance, feature usage, and reliability. Product analytics are not used for advertising, cross-app tracking, user profiling, or sale of personal information, and they do not include your User Content.
4. Information We Collect
4.1 User Content
“User Content” means audio, video, recordings, imported files, transcripts, translations, speaker labels, summaries, notes, exported files, and related content that you create, import, process, or export through Geode.
In local workflows, User Content is stored and processed on your device and does not leave your device for our servers or cloud processing infrastructure. Translation features, where available, are processed on-device on supported devices, regardless of whether the underlying transcript was generated locally or through optional cloud transcription.
If you choose optional cloud transcription or optional cloud summaries, we process only the User Content needed for the cloud task you requested. This may include the audio you select for cloud transcription and, where relevant, transcript text needed to generate a cloud summary. For cloud transcription of a video file, Geode extracts the audio track on your device and uploads only the audio needed for transcription; the video content itself is not uploaded for cloud transcription. Geode does not upload content for translation.
4.2 Account, Entitlement, and License Information
Depending on how you obtain Geode and the platform you use, we or the relevant platform may process limited account, device, entitlement, plan, subscription, license, trial, or cloud credit information necessary to activate and provide free or paid features, restore purchases, manage trial or paid access, prevent abuse, and provide support.
For Apple App Store purchases, Apple may manage relevant purchase and entitlement information through Apple ID. For Google Play purchases, Google may manage relevant purchase and entitlement information through a Google Account. For direct purchases, our authorized payment processors, currently including Creem, may process order, payment, tax, invoice, refund, renewal, cancellation, and entitlement information.
We do not receive or store your full payment card details from Apple, Google, Creem, or other authorized payment processors.
4.3 Support Communications
When you contact us for support, legal requests, privacy requests, refund or withdrawal requests, or copyright complaints, we may process your email address, message content, attachments you choose to provide, and relevant account or order information to respond to your request.
You should avoid sending sensitive audio, transcripts, summaries, or other confidential content to support unless necessary. If you choose to send such content to us, we will use it only to respond to your request and handle it according to this Policy.
4.4 Technical, Diagnostic, and App Information
We may process limited non-content technical data such as device model, operating system version, app version, compatibility information, and general service logs necessary for security, reliability, fraud prevention, account access, and product performance.
Crash reporting is disabled by default. You may turn crash reporting on or off in Geode settings. If enabled by you, crash reports may include diagnostic and technical information such as error codes, device type, operating system version, app version, crash metadata, and limited technical logs. Crash reports do not include your recordings, audio files, transcripts, translations, summaries, document content, filenames, or other User Content.
Geode may collect aggregated, de-identified, or privacy-preserving product analytics to help us understand app performance, feature usage, workflow reliability, and overall product quality. This may include limited events such as feature usage, screen or workflow interactions, app version, device type, operating system version, language setting, and general region. Product analytics do not include your recordings, audio files, transcripts, translations, summaries, document content, filenames, or personally identifying account information. We do not use product analytics for advertising, cross-app tracking, user profiling, or sale of personal information. We process product analytics based on our legitimate interests in improving Geode’s reliability, usability, and product quality, unless consent is required by applicable law.
4.5 Website Information and Cookies
When you visit our website, we and service providers may process limited website usage data, device/browser information, and cookies or similar technologies. In the EEA/UK, non-essential cookies are used only where you have provided consent through the relevant consent mechanism, where required by law.
The App itself does not use cookies for advertising or tracking. If you open web-based pages, checkout flows, support pages, or external pages from the App, those pages may use cookies or similar technologies as described in our website cookie practices or the applicable third-party provider’s policy.
Website cookies may include strictly necessary cookies, functional cookies, and analytics/performance cookies. You can manage non-essential cookies through the website cookie settings panel where available and through your browser settings.
5. How We Use Information
We use information only for the purposes described below:
- To provide local recording, transcription, translation, speaker separation where available, summaries, review, export, and related App functionality.
- To activate, verify, and manage free plans, trials, paid plans, Lifetime Licenses, Cloud Top-Ups, subscriptions, and platform or direct purchase entitlements.
- To perform optional cloud transcription and optional cloud summaries only when you explicitly choose those features.
- To provide customer support, handle privacy requests, process withdrawal or refund requests, and respond to legal or copyright notices.
- To maintain app security, prevent fraud, enforce account and license restrictions, and protect the integrity of our Services.
- To diagnose crashes or errors where crash reporting is enabled by you or where limited technical processing is otherwise permitted by law.
- To collect and analyze aggregated, de-identified, or privacy-preserving product analytics for product reliability, usability, performance, and feature improvement, without using User Content and without advertising, cross-app tracking, user profiling, or sale of personal information.
- To comply with tax, accounting, audit, legal, regulatory, court, or government obligations.
- To facilitate corporate transactions such as a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate confidentiality and data protection safeguards.
We do not use your User Content for advertising, profiling, or AI model training.
6. Legal Bases for Processing
Where the GDPR, UK GDPR, or similar laws apply, we process personal data only where we have a lawful basis. Depending on the context, this may include:
- Contract necessity: to provide Geode, activate plans, process trial or paid access, provide cloud tasks you request, and respond to support requests.
- Consent: for crash reporting where enabled by you or where required, non-essential cookies where required, cloud processing choices where consent is required, and other processing where consent is required by applicable law.
- Legitimate interests: to maintain security, prevent fraud, improve reliability, provide support, protect our rights, and understand limited non-content, aggregated, de-identified, or privacy-preserving usage patterns where permitted by law and balanced against your rights, including your right to object where applicable.
- Legal obligation: to comply with tax, accounting, consumer protection, law enforcement, regulatory, or court requirements.
If consent is the legal basis for a processing activity, you may withdraw your consent at any time through the App settings where available or by contacting us. Withdrawal of consent does not affect the lawfulness of processing before withdrawal.
7. Optional Cloud Processing
Geode is local-first. Optional cloud processing is used only when you choose cloud transcription, cloud summaries, or other cloud-powered features if made available in the App. If you do not choose cloud processing, supported local features operate locally as described in the App and this Policy. Translation features, where available, are processed on-device, and Geode does not upload content for translation.
When you choose cloud processing, the User Content needed for that task may be uploaded to cloud infrastructure operated by authorized cloud service providers selected by us. For cloud transcription of a video file, Geode extracts the audio track on your device and uploads only the audio needed for transcription. The video content itself is not uploaded for cloud transcription. Our current cloud processing infrastructure may include Amazon Web Services (AWS) and other authorized providers we may support from time to time.
Cloud processing may occur in Singapore, the United States, the European Economic Area, or other jurisdictions where our authorized cloud service providers operate, depending on the feature, region, infrastructure configuration, and service availability at the relevant time.
Uploaded audio, including audio extracted on-device from video files for cloud transcription, is processed only to complete the requested cloud transcription or cloud summary task and is permanently deleted immediately after processing is completed. Transcript text used solely to generate a requested cloud summary is processed only for that task and deleted once the task is completed, subject only to temporary technical storage strictly required during secure processing and deletion.
We do not use cloud-processed audio, transcript text, summaries, translations, or other User Content to train AI or machine learning models. Authorized cloud service providers are required to process data only to provide services to us and not for their own advertising, profiling, or model-training purposes.
8. Data Sharing and Third-Party Service Providers
We do not sell or rent your personal information. We do not share your personal information for cross-context behavioral advertising.
We may disclose or make information available only in the following limited circumstances:
- Cloud service providers: for optional cloud transcription and optional cloud summaries that you request.
- Payment and commerce providers: Apple, Google, Creem, and other authorized payment or distribution providers we may support from time to time to process purchases, subscriptions, taxes, invoices, cancellations, refunds, and entitlement verification.
- Account and infrastructure providers: to provide account access, entitlement verification, app reliability, hosting, security, and limited operational support.
- Diagnostics providers: for crash reporting if enabled by you and without User Content.
- Analytics providers: for aggregated, de-identified, or privacy-preserving product analytics, through analytics service providers operating under our instructions. Product analytics do not include User Content and are not used for advertising, cross-app tracking, user profiling, or sale of personal information. Information about our current analytics service providers and applicable safeguards may be provided on request or described in a service provider list.
- Support and communication tools: to respond to your support, legal, privacy, refund, withdrawal, or copyright requests.
- Legal and compliance purposes: where required by law, court order, government request, tax obligation, audit, or to protect our rights, users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, restructuring, or sale of assets, provided that appropriate confidentiality and data protection safeguards apply.
- With your consent or direction: when you ask us to share or disclose information.
9. International Data Transfers
OMNIINTELLILINK PTE. LTD. is based in Singapore. Some limited server-side processing may occur in Singapore or in other jurisdictions where our authorized service providers operate. This may include account, entitlement, support, payment-related, optional cloud processing, crash reporting if enabled, aggregated, de-identified, or privacy-preserving product analytics, security, and website-related processing.
Where personal data from the EEA, UK, or Switzerland is transferred to a country that does not benefit from an applicable adequacy decision, we rely on appropriate safeguards where required, which may include Standard Contractual Clauses, the UK International Data Transfer Addendum, equivalent transfer mechanisms, contractual protections with service providers, encryption in transit, access controls, and other technical and organizational measures.

10. Data Retention
10.1 On-Device User Content
Recordings, imported files, transcripts, translations, summaries, notes, speaker labels, and exported files stored locally on your device remain under your control. They remain on your device until you delete them or uninstall the App or until they are otherwise removed by your device, operating system, backups, or storage configuration. We do not retain, back up, or restore local User Content stored only on your device.
10.2 Cloud Processing Content
Uploaded audio used for optional cloud transcription or optional cloud summaries, including audio extracted on-device from video files for cloud transcription, is permanently deleted immediately after processing is completed. The video content itself is not uploaded for cloud transcription. Transcript text processed solely to generate a requested cloud summary is deleted once the task is completed, subject only to temporary technical storage strictly required during secure processing and deletion.
10.3 Account, Entitlement, Support, Diagnostics, and Analytics
Account and entitlement records are retained for as long as needed to provide access, restore purchases, manage trials, subscriptions, Lifetime Licenses, Cloud Top-Ups, and support, and for a reasonable period thereafter as needed for legal, fraud prevention, accounting, or operational purposes.
Support communications are retained only as long as reasonably necessary to resolve the request and maintain appropriate business records, unless a longer period is required by law.
Crash reports, if enabled by you, are typically retained for 30 to 90 days for diagnostic purposes, then deleted or anonymized unless a longer period is reasonably necessary for security or reliability investigation.
Aggregated, de-identified, or privacy-preserving product analytics are retained only as long as reasonably necessary for product analysis and improvement, then deleted, aggregated further, or anonymized in accordance with our retention practices.
Payment and tax records may be retained by Apple, Google, Creem, or other authorized payment or distribution providers according to their own policies and legal obligations.
11. Your Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to processing, or receive a portable copy of your personal data. You may also have the right to withdraw consent where processing is based on consent.

We may need to verify your identity using the email address associated with your account, purchase, or request before responding. We will not request more personal information than reasonably necessary to verify your identity. We will respond within the time required by applicable law.
Because Geode is local-first, many recordings, transcripts, summaries, and other User Content are stored only on your device. We cannot access or delete local content stored only on your device. You can delete local content directly in the App or through your device storage controls.
11.1 EEA, UK, and Swiss Residents
If you are located in the EEA, UK, or Switzerland, you may have rights under the GDPR, UK GDPR, Swiss data protection law, or similar laws, including the rights of access, rectification, erasure, restriction, portability, objection, and the right not to be subject to automated decision-making that produces legal effects concerning you or similarly significantly affects you.
Geode does not engage in automated individual decision-making or profiling that produces legal effects concerning you or similarly significantly affects you.
You also have the right to lodge a complaint with a supervisory authority in your country of residence, place of work, or place of alleged infringement.
EU / UK Representative: If GDPR Article 27 or UK GDPR Article 27 obligations apply to us based on the nature, scope, and context of our processing of personal data of individuals in the European Union, European Economic Area, or the United Kingdom, we will designate an appropriate representative and update this Privacy Policy with their contact details.
In the meantime, privacy requests, regulatory inquiries, and data subject communications can be sent to support@omniintellilink.com with the subject line “Privacy Request”, and we will cooperate with data subjects and supervisory authorities as required by applicable law.
11.2 California Residents
If and to the extent the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies to our processing of your personal information, California residents may have rights to know, access, delete, correct, opt out of sale or sharing, limit use and disclosure of sensitive personal information, and not receive discriminatory treatment for exercising privacy rights.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not use your User Content or product analytics for advertising, cross-app tracking, user profiling, or AI model training.

11.3 Privacy Choices
Where available, you can manage certain privacy controls directly in the App, including crash reporting, cloud processing choices, account sign-out, and related settings. Product analytics are collected in aggregated, de-identified, or privacy-preserving form and are not used for advertising, cross-app tracking, user profiling, or sale of personal information. Where applicable law gives you the right to object to product analytics, you may contact support@omniintellilink.com with the subject line “Privacy Request”.

12. Security
We use appropriate technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include encryption in transit, access controls, least-privilege internal access, vendor due diligence, contractual confidentiality and data processing obligations, and security-focused development practices.
No system can be guaranteed 100% secure. You are responsible for protecting your device, account credentials, operating system, local files, backups, exported documents, and any content you share with third parties.
If we become aware of a data incident affecting personal data we control, we will investigate and take appropriate steps, including notifying affected users or authorities where legally required.
13. Recording, Consent, and User Responsibility
Geode may be used to record, transcribe, translate, summarize, or analyze conversations or other audio. Laws regarding recording, notice, consent, confidentiality, workplace monitoring, client privilege, medical confidentiality, and publication vary by jurisdiction.
You are responsible for obtaining all legally required notices, consents, permissions, and authorizations before recording, transcribing, translating, summarizing, uploading, sharing, exporting, or publishing any audio, transcript, summary, or related content. Geode does not determine whether your recording or use of content is lawful in your jurisdiction.
14. Use by Children and Minors
Geode is not intended for children under 13, or under the minimum age required by applicable law in their jurisdiction, if higher. If you are under the age of majority in your jurisdiction, you may use Geode only with the consent and supervision of a parent or legal guardian.
We do not knowingly collect personal data from children in violation of applicable law. If you believe a child has provided personal data to us in violation of this Policy, contact us at support@omniintellilink.com with the subject line “Privacy Request”, and we will take appropriate steps.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services, infrastructure, legal requirements, or operational needs. The latest version will be made available on our website and, where reasonably available, through the App.
If we make material changes that substantially affect how we process your personal data — such as adding new processing purposes, new categories of recipients, materially longer retention periods, or new international transfer arrangements — we will provide reasonable advance notice, and where reasonably practicable at least 30 days’ notice, through the App, email to registered users, or a clear website notice. If applicable law requires consent for a change, we will request consent before the relevant processing begins.
